SPEENO respects your privacy and is committed to protecting your personal information. This policy explains what information SPEENO collects, why it is collected, how it is used and stored, and your rights regarding your personal information.

This policy applies when you use the SPEENO website, contact SPEENO, complete a form, book an appointment or receive sports massage treatment.


1. Information We Collect

Depending on how you interact with SPEENO, we may collect:

  • Telephone number
  • Booking and appointment information
  • Information provided through enquiries or forms
  • Relevant health and medical information
  • Information relating to injuries, symptoms, medication, training or previous treatment
  • Consultation and treatment notes
  • Payment or transaction information
  • Technical information relating to your use of the SPEENO website

SPEENO aims to collect only information that is reasonably necessary for the purpose for which it is required.

2. Health & Treatment Information

To provide sports massage safely and appropriately, SPEENO may need to collect information relating to your health, injuries, symptoms, medication, previous treatment, training or other relevant circumstances.

Health information is classed as special-category personal data under UK data-protection law and requires additional protection. 

SPEENO only aims to collect health information that is reasonably necessary to assess whether treatment is appropriate, provide treatment safely and maintain appropriate treatment records.

Treatment records are treated confidentially and access is restricted.

3. Why We Use Your Information

Your personal information may be used to:

  • Manage bookings and appointments
  • Respond to enquiries
  • Communicate with you about your appointment
  • Assess whether sports massage is appropriate
  • Provide sports massage safely
  • Create and maintain appropriate treatment records
  • Manage payments and business administration
  • Meet applicable legal, insurance and professional requirements
  • Operate, maintain and improve the SPEENO website and services

SPEENO does not sell your personal information.

Health and treatment information will not be used for unrelated marketing purposes.

4. Our Lawful Basis for Using Your Information

Where personal information is necessary to arrange and provide a service you have requested, SPEENO may rely on Article 6(1)(b) of the UK GDPR — performance of a contract.

Where SPEENO processes health information for sports massage assessment and treatment, this information is special-category data. SPEENO currently relies on explicit consent under Article 9(2)(a) of the UK GDPR as the additional condition for processing this health information.

Where explicit consent is relied upon, it will be requested separately and clearly.

The ICO requires organisations processing special-category information to identify an Article 6 lawful basis and an Article 9 condition before carrying out the processing and to document this decision. 

5. How Your Information Is Collected

Information may be collected:

  • Directly from you when booking an appointment
  • When you contact SPEENO
  • Through consultation or pre-treatment questionnaires
  • During an appointment or consultation
  • Through the SPEENO website
  • Through Google Forms where these are used for questionnaires or other forms

6. Where Your Information Is Stored & Third-Party Services

SPEENO uses third-party services to operate the business and may use the following:

GoDaddy — used to host the SPEENO website and manage online bookings and associated appointment information.

Google Forms — may be used to collect pre-treatment questionnaires and other information submitted by clients.

Google Drive and other Google services — may be used to securely store and manage relevant client and business records.

Google Business Profile — used to manage SPEENO’s presence on Google, including business information and customer reviews.

These providers may process personal information as part of providing their services and operate under their own privacy and data-protection arrangements.

7. Protecting Your Information

SPEENO takes reasonable measures to protect personal information, particularly sensitive health and treatment information.

These measures may include:

  • Restricted access to client records
  • Strong, unique passwords
  • Two-factor or multi-factor authentication where available
  • Password or passcode protection on devices used to access records
  • Restricted access settings on cloud storage
  • Limiting access to people who genuinely require it
  • Avoiding unnecessary collection or duplication of health information

The sensitivity of health information is taken into account when deciding how information should be stored and protected. The ICO specifically identifies data minimisation and additional security as important considerations when handling special-category information. 

8. How Long We Keep Your Information

Personal information and treatment records will only be retained for as long as reasonably necessary and in accordance with applicable legal, insurance and professional record-keeping requirements.

Different types of information may therefore be retained for different periods.

When information is no longer required, SPEENO will take reasonable steps to securely delete or dispose of it.

SPEENO’s treatment-record retention period will be reviewed in accordance with the requirements of its professional membership and insurance provider.

The ICO allows organisations to explain the criteria used to determine retention where a specific period is not currently available. 

9. Sharing Your Information

SPEENO does not routinely disclose client information to other individuals or organisations.

Information may be shared where:

  • It is necessary for a service provider to operate the website, bookings, forms or secure data storage;
  • You have requested or authorised the sharing;
  • SPEENO is legally required to disclose information; or
  • Disclosure is otherwise necessary and lawful.

Where appropriate, SPEENO aims to share only the minimum information necessary.

10. Cookies & Website Analytics

The SPEENO website uses cookies and similar technologies to help understand how visitors use the website and improve the website experience.

When visiting the SPEENO website, you are given the option to accept or decline optional cookies through the website’s cookie consent banner.

Where SPEENO relies upon your consent, you may withdraw that consent by contacting SPEENO. Withdrawal of consent does not affect the lawfulness of processing that took place before consent was withdrawn.

If you have concerns about how your personal information is being handled, please contact SPEENO first so that the issue can be investigated.

You also have the right to raise a concern with the UK Information Commissioner’s Office (ICO).
